Administrative Services – Our Administrative Staff is available to answer all resident calls and to help the Board Monday through Friday, 9:00 am to 4:00 pm. Our staff performs the following duties:
- RECORDS: Maintain accurate member rosters. Welcome letters and packages are sent to all new owners.
- MEETING NOTICES: Prepare all meeting notices, election packages, Annual and Budget meeting notices within the time lines established by the State and the Association documents.
- DAY-TO-DAY OPERATIONS: Answers all calls from residents and board members, and handles all incoming correspondence, and sends these to the Board. Prepares agendas, management reports and meeting minutes (if necessary).
- MAINTAINING AND STORING RECORDS: On-site storing of the achieved records and current files. Files include current contracts, bids, tax filings, year -end reports, legal correspondence, member files and address changes. We can also offer off-site, hard drive automatic storage of records on a daily basis.
- MAINTAIN VENDOR FILES: Our staff keeps a record of each vender’s current insurance, workman’s comp and licenses on file.
- VIOLATION LETTER PREPARATION: The TOPS property management program does the accounting and it also allows us to generate and follow-up on violation letters.
- SALES AND LEASES: We coordinate with Closing Companies and Real Estate Companies on closings and leases in your community.
